The hidden risk in “automated” guest administration tools

Compliance tools in the short-term rental market increasingly promise automation: guest registration is digitized, and tourist tax can be calculated automatically. Platforms integrate compliance workflows directly into the booking process.

But there is a structural weakness in part of the market that deserves more attention.


Manual input ≠ automation

Most platforms allow hosts to manually enter their own tax rates.

At first glance, this seems practical. It offers flexibility and avoids the complexity of maintaining local tax data centrally. Hosts can configure their settings, and platforms do not need to maintain detailed tax intelligence for every jurisdiction.

In practice, however, this approach leaves the most sensitive part of compliance — the tax logic itself — in the hands of individual users. The system may calculate automatically, but only based on inputs that must be entered and maintained manually.

That creates structural fragility.


The burden and the inconsistency remain

When compliance tools require hosts to monitor and update local tourist tax rules, the responsibility remains largely unchanged. The interface may be digital, but the obligation to interpret regulations and ensure correctness still rests with the host.

Besides, municipal rates change and exemptions vary. We even spoke to professional hospitality operators with dedicated staff who find it challenging to keep tax data consistently updated across multiple jurisdictions. And it’s their job!

Expecting thousands of individual hosts to manage this flawlessly in their spare time introduces inevitable mistakes. Incorrect rates lead to over- or under-collection, support requests, and reporting discrepancies.

Automation that depends on manual configuration will always remain vulnerable to human error.


Solving host friction requires infrastructure

True automation removes responsibility instead of redistributing it.

It relies on centralized, continuously maintained tax intelligence that is automatically applied at booking level, without requiring hosts to configure, interpret, or update tax logic themselves.

When compliance becomes infrastructure rather than settings, friction decreases in a meaningful way.

If hosts still have to manage tax logic, the burden has not disappeared. It has simply been digitized.
